Donor reconciliation

Reconcile donor lists without losing history.

Gift batches from events, online platforms, and matching-gift programs never line up with your donor CRM. The Genie matches at the household level — so 'John and Mary Smith' in the batch finds the existing 'Smith Family' record — with a review queue for the borderline cases.

The problem

Every donor batch you post creates duplicates — unless you reconcile first.

  • Online platform exports 'John Smith' and 'Mary Smith' as two records. Your CRM has them as the 'Smith Family' household. Now you have three records for one household.

  • Event registration forms let donors type their name however they want. 'Bob Johnson', 'Robert Johnson', and 'Rob Johnson' all refer to the same recurring donor — but post-event they become three donor records.

  • Matching-gift programs send CSVs with company-matched gifts. Linking those back to the employee donor is manual.

  • Year-end tax receipts go out with wrong totals because gifts were split across duplicate records.

  • Donor retention reports understate retention because the same donor appears as a 'lapsed' old record and a 'new' current record.

How the Genie solves it

Donor-specific matching with household awareness

Household-level matching

Configure the match to treat joint donors (John and Mary Smith) as a single household record. The Genie recognizes the 'and' / '&' conjunctions and matches against household names in your CRM.

Name variants + nicknames

Bob/Robert, Cathy/Catherine, Bill/William — the engine knows which nicknames map to which full names. Borderline cases (Kate vs. Katherine) go to review.

Address-level fuzzy matching

Street abbreviations (St. vs Street), apartment variations ('Apt 4B' vs '#4B'), and ZIP+4 padding all normalized automatically. Same household finds same household.

Gift-batch reconciliation

Match a gift batch CSV against your donor master to find which donors are existing (post gift to their record), new (create record), or ambiguous (review before posting).

CRM-export friendly

Works with Raiser's Edge, Salesforce NPSP, Bloomerang, Kindful, DonorPerfect, Virtuous, Neon CRM, or any system that exports to CSV. No OAuth, no package install.

Preserves donor history

Output includes both records in full — gift history, soft credits, constituent codes. Your team sees exactly what merges and what stays separate before any CRM change.

Before and after

What changes when you use ListMatchGenie

Without ListMatchGenie

  • Every gift batch creates duplicate donor records. Year-end cleanup is a 2-week project.
  • Tax receipts split across duplicates mean donors call wondering where 'their other gift' went.
  • Donor retention reports are wrong because the same donor counts as both lapsed and new.
  • Matching-gift posting requires manual look-ups to find the original donor.
  • Household relationships get lost — John's gift posts to John, Mary's gift posts to Mary, and nobody merges them into the Smith Family household.

With ListMatchGenie

  • Reconcile every batch in 5-10 minutes before posting to the CRM.
  • Household-aware matching keeps John + Mary Smith as one record, not two.
  • Nickname + address variation handling catches the duplicates VLOOKUP misses.
  • Clean year-end donor roll, accurate retention, accurate tax receipts.
  • Every batch reconciliation is saved as a match job — audit trail for board reporting.
